Procedure for Award or Extension of Scope of Accreditation

1.0 Purpose and Scope

The purpose of this procedure is to describe the process for the award or extension of the scope of accreditation of a Conformity Assessment Body (CAB).

This procedure is applicable in all instances of the award or extension of the scope of accreditation of a CAB by JANAAC.

2.0 Actions

2.1 Award of Accreditation Scope

On completion of the laboratory’s assessment and preparation of the final report by the Team Leader, the Chief Executive Officer (CEO) makes a recommendation to the Accreditation Evaluation Committee, as described in the Procedure for Implementation of the Accreditation Process.

The CEO then presents, in writing the decision of the Accreditation Evaluation Committee regarding the award of the accreditation scope of the CAB and the related documents to the assigned Team Leader (TL) within five (5) working days.

Within one (1) working day, the TL gives these documents to the Accreditation Officer (AO) to prepare a letter of notification of the award to the CAB as well as the draft Licence Agreement and Accreditation Certificate.

Within two (2) working days the AO delivers the draft letter of notification, to the CEO for signing, along with the Final Invoice received from the Financial Officer. The CEO signs and returns the letter to the AO within two (2) working days. The AO places a copy of the signed letter on the CAB’s file and dispatches the original copy of the notification and Invoice to the CAB within one (1) working day.

Within five (5) working days of receipt of the documentation from the TL, the AO prepares the draft Licence Agreement and Accreditation Certificate(s) and submits to the TL for review within another five (5) working days. A Certificate is prepared for each Field of Testing. On completion of the review of the Licence Agreement and Certificate(s), the TL delivers them to the CEO for approval and dispatch.

The CEO gives the approved documents to the AO within three (3) working days.

The AO, within two (2) days delivers the Licence Agreement to the CAB for review and signing and the Certificate to the Human Resources and Administrative Services Coordinator for framing.

The AO makes arrangements to collect the signed Licence Agreement from the CAB within ten (10) working days and submits to the CEO for signing. Where media coverage or photo opportunity is agreed with the CAB, the necessary arrangements are made by the CEO’s Office. The AO updates the CAB file and JANAAC’s website within five (5) working days of award of the certificate.

2.2 Extension of Accreditation ScopeThe CEO receives application letter for extension of the scope of accreditation, assigns a TL and passes the application to the AO for registration within two (2) working days.

The Accreditation Officer updates the file(s) for the company and submits them to the assigned Team Leader within three (3) working days.

The TL processes the application and where appropriate, makes arrangements for and conducts the assessment, completes the final report and presents to the CEO for finalizing of the decision as described in the Procedure for Implementation of the Accreditation Process.
